What is it? Why is it important?
The new Skills Management tool allows you to assign, view and track staff skills directly in the platform. This helps ensure the right workers are covering the right shifts - especially where specific qualifications or training are required.
E.g. If a shift requires someone with "Lone Working Training", you can assign that skill to staff and ensure the rota reflects whether that requirement is being met.
The skill set feature is something that really highlights us as a differentiator from our competitors as well.
Who can access it?
Company, Regional, and Location-level users can:
Add, edit and remove skills from worker profiles
View skills on the rota
Track skill expiry dates
Add skills to shift presets
How does it work?
Adding a Skill to a Worker Profile
Login as a Staff Member
Go to Staff > Your Staff
Select the relevant worker
Navigate to the Skills tab
Click “Add Skill”
Complete the form:
Skill name (dropdown)
Upload document (optional)
If you do not upload a document then the skill has no expiry date and will be marked as “No expiry” and set to permanently “Active” status.
If you upload a document, you will then need to add
Click Save
The skills will display on the Skills list -
Skills can be edited later (e.g. update expiry date), but skill name cannot be changed to maintain audit trails.
How do I add skills to shift presets?
Adding Skills at a Location level
Settings > Location > Select Location > Click “Edit”
Under Feature setup > Skills > Select skills desired at that location
Click Save
Adding Skills at a Unit level
Once the skills have been added at a location, you can assign to Units within that Location
Select Unit > Edit
Select Shift Preset > Edit
Add the Desirable Skill(s) from the drop down
Click Update Shift Preset
Navigate to the Rota view
Click to add a new shift & enter the shift details
NB make sure the role, user and shift preset match those you add the skills to
Click Submit
The skills will then display when you hover over the red ‘Skills’ icon and display which of the skills the worker has linked to their profile
FAQs
Can we add Essential Skills?
Currently all skills are Desirable - this means that workers who do not have the skills can still apply for this shift. The desirable skills will display on the shift request.
What happens if a worker with a key skill cancels their shift?
Currently, this must be manually monitored. We recommend re-checking the rota to ensure another worker with that skill is assigned.
Will workers see the required skills?
Yes – workers will see the required skills listed on a shift, but since skills are desirable only, they can still apply.
Will workers or admins get reminders about expiring skills?
Admins will receive email notifications when skills are close to expiry. Workers will not be notified (yet).
When I update skills to a shift preset, will this update the shifts in the rota that align with that shift preset?
No, adding new skills to a shift preset will only update those shifts added after.
