Set up your payroll CSV to match the layout and column names your payroll software expects.

Payroll export settings let you shape the payroll CSV so it matches the layout and column names your payroll software expects. That means fewer changes to make by hand after you download it.

Before you start

  • You'll need both the View Payroll and Manage Payroll permissions to save changes.

  • Settings apply to every payroll export across your company, so everyone who exports gets the same file.

  • If your company already has a bespoke payroll export set up, you'll keep that export and won't see these settings. Speak to your account manager if you'd like to switch.

1. Pick a layout

Choose how each worker appears in the file:

  • One row per worker – everything for a worker sits on a single line, with a separate column for each pay element (for example, basic hours, overtime, bank holiday). The file is wide, but easy to paste into a payroll template.

  • Multiple rows per worker, split by pay element – each pay element gets its own row. The file is longer, but every row holds a single figure.

If you're not sure, check which format your payroll software imports.

2. Choose your worker columns

Tick the worker details you want in the export, and untick any you don't need:

  • Payroll ID – from the worker's employment details

  • Name, or First name and Last name as separate columns

  • User ID – the worker's Florence ID

  • Primary location name – blank if the worker doesn't have one set

  • Contract – the contract (pay rate) the worker was paid under

  • Roles – the roles the worker holds on that contract

  • Weekly contracted hours – the worker's weekly contracted hours for the payroll period

  • Total contracted hours – contracted hours across the whole payroll period, worked out from their weekly hours

Tip: In the one-row-per-worker layout, if someone was paid under more than one contract or role, they're all listed in the same cell, separated by commas.

3. Reorder and rename columns

  • Reorder: drag a column by its handle to move it. Columns appear in the export in the order shown.

  • Rename: type into the box next to a ticked column to change its header in the CSV, for example "Employee number" instead of "Payroll ID". Leave it blank to use the default name.

4. Add rates and totals

Tick whichever your payroll software needs:

  • Include rates – adds the hourly rate for each pay element

  • Include pay per element – adds the amount paid for each pay element

  • Include total pay – adds one total per worker

5. Save your settings

Click Save settings. Your next payroll CSV export will use the new layout. You can come back and change your settings at any time.

Frequently asked questions

Do my settings change past payroll exports?

Your settings are used whenever a payroll CSV is exported, so if you re-download an export for an earlier payroll run, it will use your current settings.

Why can't I see Export settings?

Check you have both the View Payroll and Manage Payroll permissions – a Company Director can help with this. If your company has a bespoke payroll export, these settings won't appear; contact your account manager.

Will a colleague's changes affect my export?

Yes. Settings are shared across the company, so it's worth agreeing the format with your payroll team before changing it.
