How are rates determined?

At the point you join the panel of a particular care provider you will be invited to sign up to some new terms of business with that care provider. These will replaced any you had in place before. We will facilitate this. Each time you are added to the panel of a new provider you will need to sign new terms. This is a one time exercise for each provider.

These terms outline a number of key expectations and obligations. For example, by joining their panel you agree to follow their rate process. This includes the hourly rate and how those rates are used to calculate the overall charge you will be paid.

It is important you review and understand these. Once you agree to a booking you are agreeing to follow this and it can not be changed after the event. The way rates are calculated may be different to what you have done before. It is important you understand this. If you need to make adjustments to your rate cards then please contact us.

Rate Cards

We will facilitate agreeing the rate card between you and the care provider. This will be role, location, for days, nights and . This also includes any VAT determinations you wish to make. Once agreed this will be loaded into the system and used for future bookings. Any changes to these rates will be mutually agreed before going live and apply to future bookings only. An example rate card is below.

How do you define when a day shift starts or a night shift starts?

This is determined by the rate card submitted during registration with us.

How do you define when a weekend shift starts & ends?

Unless specifically stated during registration with us a weekend shift would start at at midnight Friday into Saturday.

A weekend night shift will end at the start of the following day times shift on the Monday.


Does the rate change as the shift moves between day shift & night shift?

Yes it does.

Here is some examples:

Shift 1

Shift times - 06:45-20:00 on a Tuesday.

  • 1.15 hours would be at the night shift rate.

  • 8 hours would be at the day shift rate.

So what does this look like:

£37.50 - Night Shift Rate (£30 per hour)

£240 - Day shift Rate (£20 per hour)

Total - £247.50

*Break adjustments will be based on the most common rate for a given shift

Shift 2

Shift times - 20:00-08:00 on a Thursday.

  • 12 hours of weekday night rate

So what does this look like:

£360 - Weekday Night Shift Rate (£30 per hour)

Total - £360

Shift 3

Shift times 09:00-15:00 on a Sunday.

  • 6 hours of weekend day rate

So what does this look like:

£210 - Weekend Day Shift Rate (£35 per hour)

Shift 4

Using the example rate card above.

Shift times - 20:00-08:00 on a Sunday.

  • 12 hours would be at the weekend night rate

So what does this look like:

£480 - Weekend Night Shift Rate (£40 per hour)

Total - £480

Shift 5 - Bank Holiday

Using the example rate card above.

Shift times - 20:00-08:00 on a Sunday ending on a Bank Holiday

  • 4 hours would be at the weekend night rate

  • 8 hours would be at the bank holiday

£160 - Weekend night rate (£40)

£320 - Bank Holiday day rate (£40)

Total - £480

*Break adjustments will be based on the most common rate for a given shift


Shift 6 - Bank Holiday 2

Shift times - 08:00-20:00 on a bank holiday rate

  • 12 hours would be at the bank holiday day rate (£40)

£480 - Bank Holiday day rate

Total - £480

Shift 7 - Bank Holiday 3

Using the example rate card above.

Shift times - 20:00-08:00 on a Bank Holiday ending not on a bank holiday.

  • 4 hours would be at the bank holiday rate

  • 8 hours would be at the weekday night rate

£180 - Bank Holiday night rate (£45 per hour)

£160 - Weekday day rate (£20 per hour)

Total - £340

When submitting timesheets for Nurses who worked in charge, should their role on Florence state Nurse in charge to ensure appropriate rate for invoicing?

The role will be based on the shift the nurse is booked for. If a nurse is booked for a shift as a nurse in charge. This will be indicated in the role and also when submitting the timesheet.


Invoicing

What is the cut off for timesheets to be approved?

Following your feedback around timesheet cut-offs / invoices. We are making some updates to the system for you today.

Agencies will have until the end of Tuesday (23:59:59) each week to submit timesheets and for homes to approve them.

Invoices will be generated for shifts worked Monday - Sunday of the previous week and any timesheets from before then that missed the cutoff. These invoices will be visible in the product for you to see and paid based on your payment terms agreement with the care provider.


What is Florence Agency Manager's VAT status?

We follow HRMC's guidelines.

Our vendor fees when you book an agency worker or your own staff are VATable.

When you book an agency worker, HMRC nursing concessions may apply. Each case is different, but in many cases, nurses do not attract VAT, and neither do some carer roles. It is solely down to the agency to determine the VAT status of any workers they supply.

Agency - How do i know what the agreed rate is?

The rate is your agreed rate with the Health Care organisation.


Agency - How can we change the rate?

If you would like to change the rates that have been agreed you would need to submit a rate change request by completing our Rate Change Request Form.

Once we have this we will contact the relevant care organisation for them to agree your change of rate.

Please note: Until your requested rate change has been processed & accepted your currently agreed rates will remain in place.
