When you first log into the system you will have 6 tabs available to you.

  • Shifts

  • Timesheets

  • Invitations

  • Staff

  • Users

  • Invoices

Shifts

Here you will be able to view 'Vacant shifts' you can propose your workers for.
You can also select booked shifts to see upcoming shifts your workers are booked for.
The final tab you can see is 'Past' shifts, this is where you can see shifts that are in the past.

We also offer a range of filter tools here. You can narrow any of these down by: date range, company, location, the role of the shift & by day shift or night shift.

Timesheets

The timesheet centre split into four sections:

  • Awaiting Submission - This is where you will be able to view the timesheets you need to submit to the relevant care organisation, when you submit your timesheet the care organisation will then be notified and asked to approve or reject the timesheet. Once you have submitted the timesheet this will go to 'Submitted'.

  • Submitted - Here you will be able to see all of your submitted timesheets awaiting approval by the care organisation.

  • Approved - Once your timesheet has been approved by the care organisation you will be able to review this in the 'Approved' section

  • Rejected - If a care organisation rejected your timesheet it will be here. When care organisations rejected timesheets we encourage them to provide a reason for rejection so you can amend resubmit these timesheets.

Invitations

In this section you will be able to see any shifts your workers have been invited to work. You will then be able to select the invitation and review the shift details and accept the invite once you have confirmed your staff are able to attend the shift.

Staff

Here you can see all of your workers, you can filter these down to workers who 'require action' before you can propose them for a shift and also see any 'archived' workers.
From the staff page you can search by a workers name if you want to check a specific workers details.

At a glance you can see your workers and sort them by alphabetical order, see what roles they have, check when their next shift is (you can sort this by furtherst to closest) and check their compliance status. You will also be able to view their profile and archive them from here too.

Users

The user tab will show you all of the users who have access to the portal to manage staff and propose workers and their linked email address too.
You can also add users here too.

Invoices

In the invoice tab we have given you an at a glance view for each week but also given you the ability to view the invoices in more detail.
At the top of the invoices tab we confirm the bank details linked to your agency to ensure they are correct for payments to be made.

Below this you will be able to see your outstanding invoices (invoices that havnt been paid yet) and also the invoices that have been paid.
You can see the invoice number, the week the invoice relates too, the status of it, amount and the ability to download this as a PDF or CSV file.

New Additions

One of our latest additions is the ability to download all invoices as a CSV file.

In the top right corner you will see 3 vertical dots this will allow you to access your notification settings, and see the care organisations you are linked too and from here you can manage your rates for each care organisations.
