Our Agency Manager offers two payment models, chosen by the client:
Direct Payment: Clients pay agencies directly based on their agreed-upon terms. We provide shift booking data, but payment handling is between the agency and the client. For any payment questions, please contact the client first. If issues persist, let us know.
Payment Through Florence: We invoice clients weekly for approved shifts (Monday-Sunday of the preceding week, plus any missed timesheets). Once we receive payment from the client, we process payments to agencies via BACS the following Wednesday. You should receive funds in your account by Friday of that week. We aim to reconcile and pay as quickly as possible.
Invoice Generation and Tracking
Invoices are generated weekly, usually by Wednesday midday, based on approved shifts from the prior Monday to Sunday. They include any previously unbilled timesheets. You can review shift details and download breakdown reports (PDF/CSV) from the invoice tab. You can also monitor invoice statuses in the Invoices tab. "Billed to Client" means the invoice has been sent and is awaiting payment. We understand the importance of timely payments however we can’t process payment without first receiving funds from the clients.
How can we check this?
You can monitor invoice statuses in the Florence portal. By following the steps below-
Select the ‘Invoices’ tab on the top of the Florence platform
2. You will then be able to see all invoices, and the status that they are in. Handled externally will be shown for clients using Direct Payment, for any payment questions, please contact the client first
