Rota - Setting Up and Using Shift Presets

How to create, manage, and use shift presets to speed up rota building.

What are Shift Presets?

Shift presets are pre-configured shift templates — a combination of start time, end time, and break duration — that you can quickly select when adding a shift to the rota. Instead of manually typing times every time, you select a preset (e.g. "Day — 07:00–19:00") and the times are applied automatically.

Setting Up Shift Presets

Shift presets are typically configured during your onboarding with the Florence team. To add or edit presets after go-live:

  1. Go to the 3 dots on top RHS

  2. Navigate to the Shift Presets section.

  3. Click Add preset.

  4. Enter a name (e.g. "Long Day"), a start time, an end time, and a break duration.

  5. Click Save. The preset will now be available when adding shifts to the rota.

Using Presets When Building the Rota

When you click the + to add a shift in the rota view, the shift panel will show a Preset dropdown at the top. Select your preset and the start time, end time, and break will be pre-filled. You can still override these manually if a shift differs slightly from the standard.
