You can add shifts to the rota manually for any staff member. Shifts are created in Draft state by default, meaning only admins can see them until you publish the rota.
Adding a shift
Go to Rota and select the relevant location and unit using the filters at the top.
Use the week navigation to go to the correct week.
Find the staff member's row and click the + icon in the cell for the day you want.
The Add Shift panel opens on the right. Fill in the details:
Shift preset — select from your pre-configured shift times (Day, Night, Long Day). See Setting up and using shift presets.
Unit — the unit this shift is for.
Start and end time — pre-filled from the preset, but you can override them.
Break duration — applied automatically from your settings.
Tags — optional labels for filtering and reporting. See below.
Notes — free text visible to admins only, not shown to the worker.
Click Save. The shift appears as a draft block on the rota.
Adding more than one shift on the same day
A staff member can have more than one shift on the same day — a split shift, for example. Click the + again in the same cell to add a second shift block.
Tagging shifts
Tags are custom labels you apply to shifts to help with filtering, reporting and reading the rota at a glance. Common examples are "Training", "On-call" and "Lunch cover" — or anything meaningful to your organisation.
To tag a shift:
Open the Add Shift panel (the + icon) or the Edit Shift panel (click an existing shift block).
In the Tags field, start typing.
Select the tag you want from your organisation's list.
Add more than one if you need to — a shift can carry several tags.
Click Save. The tags appear on the shift block in the rota view.
