How organisation-level pay rates and payroll rules are structured in Florence, and how to request changes after go-live.

Florence calculates pay automatically based on each worker's hourly rate and a set of rules agreed during your setup — things like overtime thresholds, night shift uplifts, and bank holiday rates.

This article explains how that all fits together, so you can understand your payroll output and know who to contact if something needs changing.

Note: These rules are configured by the Florence team during onboarding. You won't need to change them often, but if you do, we'll show you how.

How Pay Rates Work in Florence

Florence calculates pay for each approved timesheet based on a combination of:

  • The worker's contracted hourly rate (set on their individual profile)

  • Payroll rules configured at the organisation level — these define uplifts and enhancements that apply on top of the base rate

Payroll rules handle things like overtime, unsocial hours uplifts, and bank holiday rates automatically — so admins don't need to manually calculate these adjustments.

Payroll Rules

Payroll rules are the logic Florence applies when calculating pay for a shift. Common payroll rules include:

  • Overtime — an uplift applied when a worker exceeds their contracted weekly hours

  • Unsocial hours — enhanced rates for shifts worked in the evenings, nights, or early mornings

  • Bank holiday uplifts — a higher rate applied to shifts worked on public holidays

  • Weekend enhancements — Saturday and Sunday rates if applicable to your contracts

Viewing Your Payroll Rules

  1. Go to Staff > Payroll runs in the Florence portal.

  2. Your configured payroll rules and rate structures can be viewed from the Settings or Payroll configuration section.

Making Changes After Go-Live

Changes to organisation-level pay rates and payroll rules should be handled carefully, as they can affect payroll calculations for all staff. If you need to:

  • Add a new payroll rule (e.g. a new bank holiday uplift)

  • Adjust overtime thresholds

  • Change unsocial hours definitions

  • Add or modify rate bands

Contact your Florence implementation contact. Changes will typically take effect from the next payroll run after they are applied.

FAQs

Can I set a different pay rate for an individual worker?

Yes. Individual pay rates are set on each staff member's profile and will override the default rate for that worker. See Setting Pay Rates for Staff for details.

When do rate changes take effect?

Rate changes apply from the date they are saved. They will be reflected in the next payroll run. Changes do not retroactively alter previously approved timesheets or finalised payroll runs.
