Exporting your staff information

You can now export your staff information directly from Florence, including details like roles, contracted hours, and hourly pay rates. This article explains how to run the export and who can access it.

Who can use this feature

The staff export includes hourly pay rates, so access is restricted. You'll only see the Export button if your account has the "Manage all employee contracts" permission.

If you can't see the Export button, it means you don't currently have this permission. Speak to your organisation's admin if you believe you should have access.

How to export your staff

  1. Go to the Staff tab and click My Staff.

  2. You'll see an Export button at the top of the page.

  3. (Optional) Apply filters first. If you apply any filters before exporting, only the staff matching those filters will be included. For example, filtering to "Active" staff means only active staff appear in your export. If you want everyone, clear all filters first.

  4. Click Export. You'll see how many staff members the export covers (e.g. "63 staff").

  5. Choose your export format:

    • One row per staff member — a single line for each person.

    • One row per contract — a separate line for each pay rate. This is the better option if some staff have multiple payrolls or contracts, as it's much easier to read.

  6. Click Start export. The file is generated in the background, and you'll be emailed a link when it's ready to download.

What's included in the export

Each export contains the following columns:

  • Florence ID

  • Name

  • Employee number

  • Work tier

  • Job (this is the pay rate)

  • Payroll location

  • Other locations they can work

  • Roles

  • Contracted hours

  • Breaks paid or unpaid

  • Hourly rates

  • Excluded from payroll

Tips

  • Filters carry through. Whatever filters you have applied on the staff page will be applied to your export — so only the people shown in your filtered list will be included.

  • Multiple contracts? If your staff have multiple payrolls or contracts, choose one row per contract so each pay rate is on its own line and easier to decipher.
