Agency Manager - Unable to propose a specific worker

If you are unable to propose a specific worker there are a few things to check:

  • Is the worker compliant?

  • Is the worker approved for the type of shift you want to propose for them ? (a carer cannot work a nurse shift for example).

  • Is the worker’s profile complete? Missing personal information, such as a phone number or email address, can prevent shift proposals. Ensure these details are updated in their profile using generic options if necessary.

  • Are their professional registration pins (e.g., NISCC pins) up to date? Add or update these pins and check for annual revalidation, as expired pins must be re-submitted for compliance approval.- Has the worker been previously rejected for the same shift? The system won’t allow a worker to be reproposed if they’ve already been rejected for a specific shift, and reasons for rejection may not always be visible.

  • Do their DBS checks remain valid for the shift's date? If a DBS has expired or is nearing its expiration, upload a renewal confirmation from the DBS update service to rectify this issue.

  • Are essential training certifications, such as Moving and Handling Theory training, up to date? Assigning shifts is not possible with expired training. Update these certifications to proceed.

If the worker is not yet marked compliant you will not be able to propose them for the shift on the platform. If you are trying to propose a worker who is only approved as a carer they will not be able to work a nurse shift or a nurse will be unable to work a carer shift unless they have the worker type activated.We do this to ensure that anyone who works a shift has all the required documentation and is skilled to work the shift they proposed for.

If system constraints prevent a worker's eligibility despite all profile details being accurate, ensure that no certifications or trainings are expiring or pending review. Broader compliance-related constraints may also need to be revisited to resolve the issue.

Compliance-related updates, such as registration pins or other required validations, are reviewed by the compliance team. This process can take up to 3 working days. If delays occur, it may be necessary to follow up for escalation. Ensuring timely updates and communicating with the compliance team helps minimize disruptions.

Ensure to upload all necessary supporting documents, such as updated DBS confirmations or new training certifications, to avoid delays. These will help fast-track the review process and minimize disruptions.

After ensuring that missing details or compliance issues have been addressed, you can verify if the worker's profile is marked as complete. For instance, profiles that previously lacked contact information or had expired pins should function properly post-update.

General Troubleshooting Steps

  1. Check System Notifications: Look for error messages or alerts in the Florence platform, which could identify the specific issue.

  2. Review Compliance Documents: Confirm that all training, DBS checks, and certifications are up to date and valid for the shift period.

  3. Propose Another Candidate: If the initially proposed staff cannot be assigned, consider other eligible members.

  4. Update Required Information: Resolve any outdated or missing documentation by uploading valid updates directly.
