What is Clock In & Out?

The Clock In & Out feature allows staff working in your care home to record their actual start and finish times for each shift using the Florence app.


It uses location tracking (GPS) to confirm the staff member is onsite when they clock in or out.

This gives you:

  • Accurate visibility of when staff arrived and left

  • Fewer manual timesheet errors

  • Reliable data for payroll and compliance

How to Get Clock In & Out Enabled

This feature isn’t automatically active for all clients. To have Clock In & Out enabled for your organisation:

  1. Contact your Florence Account Manager or reach out to Support through chat.

  2. Request Clock In & Out for staff shifts to be turned on.

  3. Once enabled, your staff will see a Clock In button on their Florence dashboard when they’re scheduled for a shift.

Monitoring Clock In & Out on Timesheets

Once the feature is enabled and staff start using it, you can monitor their clock-in and clock-out data directly on their Timesheets.

To view this:

  1. Go to your Timesheets tab.

  2. Select the relevant timesheet from the list.

  3. In the Check in/out details section, you’ll see:

    • Clock In time

    • Clock Out time

    • Any notes or reasons the staff member entered (e.g. leaving early, feeling unwell)

Compare these times with:

  • The scheduled shift time, and

  • The approved times being submitted for payroll.

This helps confirm whether the staff member worked their full shift or left early.

Adjusting Timesheets When Staff Forget to Clock In or Out

If a staff member forgets to clock in or out, you can manually adjust their timesheet.

Here’s how:

  1. Go to the Timesheets tab and open the relevant entry.

  2. Click Amend this timesheet

  3. Update the Start time, End time and Break length (if applicable).

  4. Optionally, add a note explaining the change (e.g. “Missed clock-in – confirmed by manager”).

  5. Click Update timesheet to save the changes.

Once approved, the new times will be used for payroll.
