Overview
The Florence portal is your central hub for managing your workforce. Once logged in, you'll find the main navigation along the top. This article walks through each section so you know where to go for what.
N.B. your navigation will also depend on your access permissions. Contact your Company Director if your permissions need updating.
Main Sections
Rota
The Rota section is where you build and manage your staff schedules. From here you can:
View and build rotas by location and unit
Add, copy, edit, and publish shifts
Apply rota templates
Manage leave requests
View working day preferences
Staff
The Staff section holds all your perm and bank staff profiles. From here you can:
Add and manage staff members
View and edit personal details, employment details, and contracts
Set pay rates and leave entitlements
Upload documents
Manage user permissions and access
Timesheets
The Timesheets section is where you review and approve hours worked by your perm and bank staff. Tabs include:
Awaiting Submission — shifts where the worker hasn't yet submitted their timesheet
Awaiting Approval — submitted timesheets pending your review
Approved — finalised timesheets ready for payroll
Agency timesheets are also visible here — submitted by the agency and requiring your approval.
Payroll
The Payroll section (accessible via Staff > Payroll runs) is where you run, review, and export payroll for your perm and bank staff. See the Payroll article for full details.
Reporting
The Reporting section gives you access to data exports and summaries across shifts, timesheets, leave, and payroll. See the Reporting overview article for full details.
Shifts (Agency & Marketplace)
If you also use Florence for agency or marketplace staffing, the Shifts section manages those open shifts — posting, reviewing applicants, and approving timesheets submitted by agencies.
Tips
Use the location filter at the top of most pages to switch between your sites if you manage multiple locations.
Your access to sections depends on your permission level — if you can't see something, speak to your Company Director or Regional Manager.
