Overview
Rather than rebuilding the same pattern from scratch, you can copy shifts you've already created. Which route you use depends on how much you're copying:
You want to… | Use |
Repeat one shift on another day, or give it to someone else | Copy shift — from the shift's 3-dot menu |

Repeat a fortnightly or monthly pattern | Rota templates, which are designed for recurring schedules |
How to Copy a Single Shift
On the rota view, find the shift you want to copy.
Hover over the shift block to reveal the 3-dot (⋮) menu in the corner of the block.
Click it and select Copy shift.
A panel opens asking where to copy the shift to:
Select the day(s) within the current week, or navigate to another week.
Select the staff member(s) to assign it to — the same person or a different one.
Click Copy. The copied shifts appear on the rota in Draft state.
The same menu also gives you:
Edit shift — change the times, unit, tags or notes on this shift.
Delete shift — remove it from the rota. If the shift is already published, deleting it notifies the worker.
Copying a whole week
Go to Rota and navigate to the week you want to copy from.
Click the Tools menu (top right of the rota view).
Select Copy week.
Choose the destination week.
Choose what to copy:
All shifts — every shift in the current view.
Draft shifts only — just the ones not yet published.
Published shifts only — just the ones already published.
Click Copy. Everything arrives in the destination week in Draft state, whatever it was in the week you copied from.
What carries over
Shift times, units, breaks, tags and notes.
Staff assignments — each shift copies to the same person.
Leave blocks are not copied. Leave is managed separately.
What to check afterwards
Review the new week before you publish:
Anyone on leave that week? Their shifts came across regardless, so remove or reassign them.
Bank holidays or exceptions that differ from the week you copied.
Make any other adjustments, then publish.
Worth knowing
Copying never publishes. Whichever route you use, copied shifts sit in Draft until you publish the rota — workers can't see them before that.
Copy week respects your filters. Only shifts visible in the current view are copied, so check your location, unit and role filters first.
