Rota - Setting Leave Entitlements for Staff

How to view and set leave entitlements for staff, understand leave balances, and manage the leave year.

Overview

Each staff member's leave entitlement tells Florence how much time off they're allowed per year. As leave gets approved throughout the year, Florence tracks what's been used and shows a running balance — so you can always see at a glance how much someone has left.

Finding Leave Entitlements

  1. Go to Staff > My Staff and open the relevant staff member's profile.

  2. Click the Leave tab.

  3. You'll see a summary of their entitlements and current balances by leave type.

Setting or Updating an Entitlement

  1. On the Leave tab, click Edit entitlement next to the relevant leave type (e.g. Annual Leave).

  2. Enter the entitlement amount in hours (all leave is tracked in hours internally, even if displayed in days).

  3. Set the leave year start date if it differs from the default configured for your organisation.

  4. Click Save.

Understanding the Balance

How the balance is calculated:

It's straightforward: take the total entitlement, subtract the approved leave taken so far this year, and you get the remaining balance.

If someone's approved leave goes over their entitlement, their balance will show as negative. Florence will flag this so you can decide how to handle it — it won't block you from approving leave.

Leave Year

The leave year start date is configured at the organisation level during onboarding (e.g. 1 April or 1 January). At the start of a new leave year, entitlements reset and balances begin from zero again. Historical leave records are retained for audit purposes.

Leave Types

Leave types (Annual Leave, Sick Leave, Maternity, etc.) are configured during onboarding by the Florence team. Each leave type can have its own entitlement. For annual leave, the entitlement is typically set per staff member to reflect their contractual allowance. For types like sick leave, there may be no fixed entitlement.
