New Dynamic Rota

View more than 1 week at a time on your rota view.

Need to plan staffing further ahead than a single week? You can now extend your rota view to cover up to a month at once - handy for monthly rota patterns, tracking contracted hours over a longer period, or just getting a clearer overview of upcoming coverage.

What's changed

Previously, the rota only showed one week at a time. Now you can choose how far ahead you view:

  • 1 week (the original view)

  • 2 weeks

  • 4 weeks

  • 1 months

Whatever you pick, the rota automatically rescales - day columns, week groupings, navigation, and contracted hours targets all adjust to match.

How to set your rota period

  1. Open the rota and select your preferred period length (1–4 weeks) from the view selector.

  2. Use the date picker to set your start and end date for the period.

    • Use the quick "snap to weekday" helper to line your period up with a recurring pattern — for example, snapping to the last Friday of the month if you run a monthly rota.

  3. Once set, use the forward/back arrows to move one full period at a time (e.g. jump from one 4-week block straight to the next).

What you'll see

  • Contracted hours, totalled for the period - instead of just a weekly figure, you'll see contracted hours added up across however many weeks you've selected, making it easier to spot who's over or under their hours across the full period.

  • Extra shifts picked up during the period - if a staff member picks up an additional shift in any week, it's reflected in their hours total for the period.

  • Leave - approved leave is visible directly on the extended view, so you can see who's off alongside who's working.

  • Staffing levels - coverage gaps and demand are visible at a glance across the whole period, not just the current week.

Viewing shift details

Hover over any shift to see:

  • Worker name

  • Role

  • Unit

  • Location

  • Any sub-shifts

Editing shifts

You can do everything you'd normally do on the weekly rota, just across a longer period:

  • Drag and drop shifts to move them

  • Copy a template from one week and paste it into future weeks within the period. N.B. templates and copying are still limited to 1 week at a time.

  • Assign open shifts directly from the extended view

Filtering and default view

  • You can filter by location or unit, just as you can on the standard weekly view.

Draft and publish

The 4-week view supports the same draft → publish workflow as the weekly rota. Build out your rota across the full period, review it, then publish when you're ready for staff to see it.

Printing

Currently only available on 1 week view.
