Overview
Publishing a rota makes your shifts visible to workers in the Florence Go app and sends them a notification. Until a rota is published, all shifts remain in Draft state and are only visible to admins.
Before You Publish
It's worth taking a few minutes to review before publishing, as workers will be notified immediately:
Check all shifts are assigned to the correct staff member and unit.
Check for any leave conflicts — staff on approved leave should not have shifts in that period.
Check the hours totals at the end of each row look as expected.
Check for any non-working day warnings and decide whether to keep or remove those shifts.
How to Publish
Navigate to Rota and go to the week you want to publish.
Click the Publish button at the top right of the rota view.
A confirmation dialog will appear summarising the number of shifts about to be published. Review and click Confirm.
All draft shifts for that week will move to Published state. Workers will receive a push notification in the Florence Go app.
Publishing Part of a Week
If you only want to publish shifts for certain staff or certain days, you can use the filters to narrow the view by role, unit, or location before publishing. Only the shifts visible in your current filtered view will be published.
After Publishing
Once published:
Workers can see their shifts in the Florence Go app.
You can still add new shifts or make edits — new additions will appear as Draft and will need to be published separately.
If you edit an existing published shift, the worker will be notified of the change.
