Rota - Copying a Single Shift

How to duplicate an individual shift to another day or staff member using the 3-dot menu.

Overview

If you need to quickly duplicate a single shift — for example, to repeat the same shift on another day or assign it to a different staff member — you can do this using the 3-dot menu on the shift block.

How to Copy a Single Shift

  1. On the rota view, find the shift you want to copy.

  2. Hover over the shift block to reveal the 3-dot (⋮) menu icon in the corner of the block.

  3. Click the 3-dot menu and select Copy shift.

  4. A panel will open asking you to choose where to copy the shift to:

    • Select the day(s) within the current week, or navigate to another week.

    • Select the staff member(s) to assign the copied shift to — you can copy to the same person or a different staff member.

  5. Click Copy to confirm. The copied shift(s) will appear on the rota in Draft state.

Other Options in the 3-Dot Menu

The 3-dot menu also gives you quick access to:

  • Edit shift — change the times, unit, tags, or notes on this shift.

  • Delete shift — remove the shift from the rota. If the shift is already published, deleting it will notify the worker.

Tips

  • Copying a shift does not publish it automatically — you'll still need to publish the rota for the copied shifts to be visible to workers.
