Rota - Adding a Shift to the Rota

How to add individual shifts to the rota and assign them to a staff member.

Overview

You can add shifts to the rota manually for any staff member. Shifts are created in Draft state by default, meaning only admins can see them until you publish the rota.

Adding a Shift

  1. Navigate to Rota and select the relevant location and unit using the filters at the top.

  2. Use the week navigation to go to the correct week.

  3. Find the staff member's row and click the + icon in the cell for the day you want to add a shift.

  4. The Add Shift panel will open on the right. Fill in the details:

    • Shift preset — select from your pre-configured shift times (e.g. Day, Night, Long Day). See the Shift Presets article for how to set these up.

    • Unit — the unit or ward this shift is for.

    • Start and end time — pre-filled from the preset, but can be overridden.

    • Break duration — automatically applied based on your settings.

    • Tags — optional labels for filtering or reporting (e.g. "Training", "On-call").

    • Notes — any free-text notes visible to the admin (not shown to the worker).

  5. Click Save. The shift will appear as a draft block on the rota.

Adding Multiple Shifts on the Same Day

A staff member can have more than one shift on the same day (e.g. a split shift). Simply click the + again in the same cell to add a second shift block.
