How to Approve or Reject a Timesheet

Approving timesheets promptly is essential for ensuring healthcare professionals are paid accurately and on time for the shifts they've worked at your location. This guide shows you how to review, approve, and reject timesheets on the Florence platform.

Important: The 7-Day Auto-Approval Policy

To ensure professionals are always paid on time, there is a 7-calendar-day window to review each timesheet.

  • The 7-day review period begins as soon as a professional submits their timesheet.

  • You will receive a reminder notification 24 hours before the deadline.

  • If a timesheet is not approved or rejected within the 7-day period, Florence will automatically approve it to process payment.


How to Review a Timesheet

  1. Navigate to the ‘Timesheets’ tab from the main menu at the top of the page. You will automatically land on the ‘Awaiting Approval’ list.

  2. Find the timesheet you wish to review and click the ‘Review Timesheet’ button.

  3. Carefully check that all the information is correct, including the date, start and finish times, and break duration.

Pro-Tip: Look for GPS Verification 📍

If you see a "GPS Verified" banner on the timesheet, this confirms that the professional used the Florence app to check in and out, and our system has verified they were at your location at the times submitted.


Taking Action: Approving or Rejecting

After reviewing the timesheet, you can either approve it for payment or reject it for correction.

To Approve a Timesheet 👍

  1. If all the details are correct, click the ‘Approve’ button.

  2. A window will pop up asking you to rate the professional's performance on the shift. Please provide a rating.

  3. Click ‘Submit’ to finalise the approval. The timesheet will then be processed for payment.

To Reject a Timesheet 👎

  1. If there is an error on the timesheet, click the ‘Reject’ button.

  2. A text box will appear. You must leave a clear, concise note for the professional explaining why it was rejected (e.g., "Incorrect finish time. Shift ended at 5:00 PM, not 5:30 PM. Please correct and resubmit.").

  3. Click ‘Submit’ to send the timesheet back to the professional. They will be notified and can then submit a corrected version for your review.
